Merging Patient Accounts
This document will walk you through how to merge patient accounts. There are a couple different situations you may run into:
- Duplicate patients in both CATC Portal AND eCW
- Single account in CATC Portal, but duplicate in eCW
Merge the Patient Account in CATC Portal
- Search for the patient in Member Search. (Please Note: You may need to search using DOB, Last Name, First Name, etc... in order to find both accounts.)
- Select both accounts that will need merging by holding CTRL while clicking. Be VERY careful that the correct patients are selected as this action CANNOT be undone. Once selected, the "Merge Users" button will appear in the upper right.
- A window will open showing the details of both accounts. Select "Keep" at the bottom of the account that you would like to keep as primary. Typically, we would select the account with the most information. Then, click "Merge" in the bottom right corner.
- Occasionally, you will get a pop-up warning that the users do not appear to be the same person. This could indicate the social is different, or not listed for one account. This could also be due to different names. If you are confident, click "Confirm."
- When completed, you will received a message.
Merge the Patient Account in eClinicalWorks
- Search for the patient in Member Search in the CATC Portal. We need to verify that we merge the correct Account Numbers.
- In eCW, go to Menu > File > Merge Patient.
- Search for the patient. The first line is the OLD account or the account we are getting rid of. The second line is the account we are keeping. This one should match the account that we found in the CATC Portal. Please note, when searching for the patient, you may need to change the status to look for an Inactive account.
- Click Merge. Click OK when this is complete.
